Getting Started with EasySync Pro 4.2.3
Important: B efore you install EasySync Pro, you should confirm that the mobile device is connected to the PC and the vendor-supplied software is installed and functioning correctly, including the synchronization software.
For Palm OS Devices:
If you have an existing installation of EasySync Pro
If you have a previous version of EasySync Pro installed on your PC, you must uninstall EasySync Pro before proceeding:
1. From the Start menu, choose Programs --> Lotus EasySync Pro --> Uninstall EasySync Pro.
2. Proceed to install EasySync Pro per instructions for first-time installation below.
If you are installing EasySync Pro for the first time
Confirm that the HotSync Manager is running and available in the system tray.
To confirm that the device is communicating successfully with the PC, initiate a HotSync from the device. If the device has never been used, no data will be transferred to or from the device, but this initial synchronization will confirm that the device can successfully synchronize with the PC.
If you have any problems or questions about whether the HotSync software is operating correctly, contact your device manufacturer or Palm Software Support.
For Pocket PC devices:
If Microsoft ActiveSync is installed correctly, it will prompt you to create a connection. Verify the connection is active (green) in the system tray.
To confirm that the device is communicating successfully with the PC, initiate a synchronization via ActiveSync from the device. If the device has never been used, no data will be transferred to or from the device, but this initial synchronization will confirm that the device can successfully synchronize with the PC.
If you have any problems or questions about whether the ActiveSync software is operating correctly, contact your device manufacturer or Microsoft Software Support.
After you confirm that your device is communicating with your client PC, you can proceed to install EasySync Pro.
1. Run setup.exe (or the corresponding executable file, for example, C82XQML.exe).
2. At the 'Welcome' screen, click Next. After reading the License Agreement, click Yes to accept the terms and proceed.
3. Select your device type, Palm OS or Pocket PC, and click Next.
NOTE: If you choose to install both device translators, review the use of Profiles in the EasySync Pro online help. If you install both translators, you will be prompted to select a default translator. Select the type of your primary device.
4. Click Next to Start Synchronization and allow the installation run to completion.
During installation, EasySync Pro will use Notes Client information (notes.ini) on the PC to populate the data sources to be synchronized. In particular, it uses mail file information from the Location setting in Notes.ini. This Location setting will be the most recent (current) location used in the Notes Client. If you are unsure of whether the data sources are correct, follow the directions below after installation to verify data sources.
Verifying Data Sources
1. From the Windows TaskBar, choose Start --> Programs --> Lotus EasySync Pro --> EasySync Pro.
2. From the application menu, select Profile --> Current Profile Settings --> Data Sources panel.
3. Choose a data source from the panel on the left, for example, Notes Address Book.
4. The Current File/Folder Name field should specify the database name and location for this data source, or say <Default>. If blank or the field does not specify the Notes data source you want to use, click Change and browse to the correct server and database. This action is similar to the File --> Database --> Open function of Notes.
5. Click OK if you made changes or Cancel if you didn't.
TIP: Have the Notes client open and select Edit Current from the toolbar at the bottom to verify the current settings for the location of the mail file (Local vs. On Server). Configure the settings in EasySync Pro accordingly.
What To Sync?
If you prefer to synchronize only portions of your Notes information, select Available Items located in the primary setup window (Start --> Programs --> Lotus EasySync Pro). In this window, uncheck the items that you don't want to synchronize.
For example, if you only want to sync your Notes Calendar and Notes Address Book (Contacts), uncheck Tasks (To Do List), Mail, and Notes (Notes Journal). Be aware that you cannot sync data from similar conduits in addition to Notes. For example, once you choose to use EasySync Pro to sync your Notes Calendar, you cannot sync with another calendar application, such as Palm's Desktop calendar.
When you synchronize with EasySync Pro for the first time, EasySync Pro will perform a Full Synchronization of all documents in all applications that you made available to synchronize ( Notes and Palm/Pocket PC Device data). During this process, you are given the following options:
1. Replace the Palm OS (or Pocket PC) Devices records with Notes records. This is the default and most common option. This forces the data from Notes into your PDA. IMPORTANT: This will overwrite all information in all PDA applications that you selected to synchronize with EasySync Pro. If your device is brand new, out of the box, with no added data, this is the option you want.
2. Replace Notes records with Palm OS (or Pocket PC) Devices records. This forces the information from your PDA into Notes. IMPORTANT: This will overwrite all information in all Notes applications that you selected to synchronize with EasySync Pro. Be very careful of this option. The ideal example for choosing this selection is if you are a new employee to a company and you have a PDA that is filled with address information that you want to transfer to your new Notes Address book.
3. Combine both Palm OS (or Pocket PC) Devices records with Notes records. WARNING: This may result in duplicate records in both your PDA and Notes. If the PDA is new as in the above scenario, combining the records should be fine. Duplicates occur when the PDA has already synched to existing Notes data, thus already containing the exact data that is in Notes. If you choose to combine, you are in essence telling the PDA that the data in Notes and the data in the PDA is new and should be combined (transferred both ways).

Troubleshooting Problems with EasySync Pro 4.2.3
EasySync Pro can be installed on a wide variety of PIMs and devices. Depending on the environment, problems can occur as a result of installation errors, data errors, or system errors. Product Development encourages you to review the Errors and Warnings section in the Online Help to determine what problem you are encountering. See below for some common issues that may occur and the general troubleshooting tips to resolve them.
Unable to run EasySync Pro:
If you are unable to launch the software, most likely the installation did not complete normally. Uninstall and reinstall EasySync Pro.
Unable to synchronize:
If you are able to launch the synchronization software but are unable to synchronize, confirm that the profiles specified in the EasySync Pro Profiles panel of the main synchronization window are the correct data sources you want to synchronize. The current profile is shown in the main synchronization window. Use the Profile menu to add a new profile or to switch to a different profile. Next, check the settings for the synchronization profile to confirm that the translators (COM port connections) are configured properly. This is done by selecting Profile --> Current Profile Settings. Finally, verify that your mobile device is connected to the PC properly.
Synchronization completes but errors are encountered:
Synchronization completes but you receive the following message, which is usually preceded by another message: "Synchronization completed (with one or more errors)." Select to synchronize again with the Force Full Synchronization option enabled. This option can be found in the File menu of the EasySync Pro application. If you continue to get this message, contact Technical Support.
Synchronization completes but some Notes data is not synchronized to the device:
Entries added to Notes databases, especially to the Notes Calendar, using means other than the Notes user interface, might not synchronize to the device. For example, an appointment added to a calendar via a customized LotusScript button, may not be able to be read and synchronized to the device by EasySync Pro.
Synchronization does not complete and the following error is encountered:
'Requested database, record, resource, etc. not found. Run all the applications (Address, Date Book, To Do List and Mail) at least once in the device and try again. If the device uses VersaMail, MultiMail or any other noncompliant e-mail application, please uncheck the Mail checkbox.'
This error can occur if you are using a Palm device with a newer version of the Palm Desktop/HotSync software. If you are using a Palm OS device and you encounter this error on your first synchronization, follow the installation instructions above for an existing installation of EasySync Pro. Uninstall EasySync Pro, uninstall Palm Desktop software, delete the Palm directory and reinstall.
It is important to verify that you are using the correct version of Palm Desktop/ HotSync for your device Use the version of Palm Desktop/ HotSync that came with your device, combined with any updates to that software that are provided by the manufacturer. Otherwise, use the version available on Palm's website. If you do not use the correct version, HotSync may have difficulty communicating with your device during the synchronization process.
If you receive an "Unknown error" during synchronization, create a log file to send to Technical Support for resolution. To do this, select Tools --> Log from the EasySync Pro main application window. Select the "Log Level of 3=Debug Data Log" and attempt the synchronization again to log the information.
