Lock Out Tag Out Info to be Displayed on Work Orders

Problem(Abstract)

This document provides instructions for having Lock Out Tag Out info loaded on the Work Order Tracking application.

Resolving the problem

Some users report not being able to see safety information from assets on their work order records. Below are the required steps to have Lock Out Tag Out info loaded onto the Work Order Tracking application for manually created or PM generated work orders. This allows Safety Plans to automatically be loaded on work orders generated from PM records (Preventive Maintenance records that are due).

The following records will need to be created using the steps below:

A - Have Lock Out Tag Out info loaded on the Work Order Tracking application, for manually created work orders
B - Have Safety Plans automatically loaded on work orders generated from PM records (from Preventive Maintenance records that are due)

Records you will have to create (names below are just examples, you can use any name)

ASSET record = ASSETFORD01 (required for task A and task B)
HAZARD record = HAZFORD1 (required for task A and task B)
TAGOUT record = TAGFORD1 (required for task A and task B)
SAFETY PLAN record = SPFORD1 (required for task A and task B)
PM record = PMFORD1 (required only for task B)
JOBPLAN record = JOBFORD1 (required only for task B)

TASK A instructions - Have Lock Out Tag Out info loaded on the Work Order Tracking application, for manually created workorders

In order to have Lock Out Tag Out info loaded on the Work Order Tracking application, for manually created work orders, please follow these steps below:

1. Go to Assets application, create a new asset and change its status to OPERATING



2. Go to Hazards app and create a new hazard as below




3. Go to Lock Out Tag Out application and create a new record as below, associate it with the asset you created and insert a new row for a lock out operation



4. Go to Safety Plans, create a new record and associate it with asset you created



5. Go to Assets application, search for your asset and associate the hazard info with it, then the Lock out operation



6 Go to Safety Plans, associate the hazard info with the safety plan you created and with the work asset (your asset)



7. Go to Work Order Tracking application, create a new work order, associate it with your asset, then associate the safety plan you created for that asset.



8. When you go to Safety tab, you will see the associated safety info

TASK B Instructions - Have Safety Plans automatically loaded on work orders generated from PM records

In order to have Safety Plans automatically loaded on workorders generated from PM records, a job plan record is needed on the PM record, since safety plans associated to an asset will only be
carried over to a work order from a PM when you associate the job plan that has work assets and a safety plan and that asset is associated on the PM record. See steps below, which used the same asset/hazard/safety info from the previous steps above:


1- Create a Job Plan record



2- Associate the asset and the safety plan records to this jobplan, on the Work Assets tab



3- Make sure that your PM record is associated with both the asset and job plan records






4- When you generate a work order from that PM record, you will see the following info on the work order:





5 - When you go to Safety tab, you will see the associated safety info
