Maintaining BP Web Store Blue Harmony SAP Access Roles

Abstract: This page shows you how to maintain BP Web Store Blue Harmony SAP access roles.

As part of deploying Blue Harmony SAP in IBM, your Business Partner employees and access roles in Partner Commerce (PC), Partner Commerce Servers (PC/S), or the Online Price Request Application (OPRA) have been automatically migrated to PPS. Their access roles have been mapped to equivalent roles on the Blue Harmony SAP system.

You manage your access roles for Blue Harmony SAP in PPS. The Authorized Profile Administrator (APA) chooses the appropriate role or roles for the employees in their company. A user can have multiple roles.

The employee profile must contain an IBM ID and email address before you can assign them to a Blue Harmony SAP access role.

Perform the following steps:

  1. In the left navigator, click Location.
  2. In the center pane, select the Worldwide enterprise, Country enterprise, and Location.
  3. In the Action menu, click Location list of employees.
  4. Click the forward arrow.
  5. Select the Employee you would like to assign the Blue Harmony SAP access roles to. The employee must have an IBM ID and email address in the employee profile before you can assign them to a Blue Harmony SAP access role.
  6. Select Access roles.
  7. There are multiple Role groups on this screen. Select all of the Blue Harmony SAP access roles that apply for the employee. Note: An employee can have more than one role.
  8. Click Save.

You can change access roles for an employee by simply navigating to the same screen as when you were adding access roles, choosing different access roles for the employee, and saving your changes.

Removing employee access roles

You can delete an access role for an employee by simply navigating to the same screen as when you were adding access roles for the employee, clicking the previously-selected access role to de-select it, and saving your changes.

Suspending all access by inactivating an employee

If an employee leaves your company or is no longer working in a role that supports your channel business, you should change the status of their employee to inactive in PPS. This also removes their access to Blue Harmony SAP functions.

As a part of this migration of employees and their access roles to PPS, some emails are sent.

Before you can maintain your BHSAP access roles, you need to ensure you have your employees profiled in PPS. Here are some guidelines

You can also manage employees from the Add employee page. Perform the following steps:

  1. Click Employee on the left navigator.
  2. Click the Add employee link on the left navigator.
  3. Select the worldwide enterprise, country enterprise, and location.
  4. Click Manage employees.

Adding an employee

There are several ways to add employees. You can add them one at a time, or all at once using a CSV file. Note: In order to add an employee, you must be an APA.

  1. On the PPS landing page, in the Quick tasks list, click Add an employee to your company's profile.
  2. Select the Worldwide enterprise, Country enterprise, and the desired location for the employee.
  3. Click Add employee.
  4. Complete the Employee screens by completing all of the required fields. Required fields are indicated by an asterisk (*). Note: If the employee needs to manage their own profile information in PPS (i.e., newsletter subscription, and so on), they must have an IBM ID and you must set their Profile Access to personal information access only.
  5. Finish completing the fields and click Save.

Adding multiple employees in one transaction using a CSV file:

  1. On the PPS landing page, in the Quick tasks list, click Add an employee to your company's profile.
  2. Select the Worldwide enterprise, Country enterprise, and the desired location for the employee.
  3. Click Manage employees.
  4. Select Download current employee list. Note: The (i) link goes to pop-up help.
  5. You can also make changes to your employees by using this file and making the updates and then uploading the file. Note: To add an employee, the TRANS_TYPE is A.
  6. Browse and locate the file that contains the list of employees.
  7. Select Update multiple employees.

Sending one or more employees an invite email to register

Abstract: This page shows you how to send one or more employees an invite email to register.

To invite a single employee, type the email address of the employee in the Send email to employee to invite them to register field and click Invite contact.

To invite multiple employees, create a CSV file with the list of email addresses. In the Upload CSV file to upload multiple contacts field, browse to locate the file on your hard drive, and click Invite multiple contacts.

Managing your employees by associating them to PPS

  1. Select the Country enterprise.
  2. Click General information.
  3. In the Automatically accept contacts who self-associate with this company field, select Yes or No. Note: If you select Yes, your employees are automatically added to PPS. If you select No, then you must approve each employee before they are added to PPS.
